Run year-end reports in QuickBooks Desktop

Pull the Profit and Loss, Balance Sheet, Trial Balance, and General Ledger we need at year end, with prior-year comparison.

These are the four reports we ask for at year end. Each one should compare last year against the prior year.

Profit and Loss

  4. On the report toolbar, click Customize Report
  5. In the Modify Report window, go to the Display tab and check Previous Year for Comparison
  6. Click OK to refresh. You now see last year against the prior year side by side.

Balance Sheet

  1. Go back to Reports, then Company & Financial
  2. Select Balance Sheet Standard
  3. Change the Dates drop down to Last Year

  3. Click OK

General Ledger

  1. Go to Reports, then Accountant & Taxes, then General Ledger
  2. Set the Dates drop down to Last Year
  3. Click Customize Report, then the Display tab
  4. In the Columns list, check CLR (cleared), Debit, and Credit
  5. Click OK

Save or export

  • To export: click Excel, then Create New Worksheet. Save it somewhere you can find it and upload it to the client portal (Opens in a new tab).
  • Worth doing for next year: click Memorize at the top of each report and give it a name. Next year they are one click.
