The problem

Your practice is busy. Your numbers are a mystery.

Most dentists don't have a production problem — they have a visibility problem. The books, the tax, and the strategy each sit with someone different, and none of them speak dental. By the time the picture comes together, the chance to act on it is gone.

01
Production looks great. The bank account disagrees.

You produced $180K last month, but insurance adjustments, write-offs, and slow collections mean a different number actually landed. If your books don't separate production from collections, you're flying blind.

02
A six-figure equipment buy, no tax plan.

You financed a CBCT or a CEREC and nobody modeled the Section 179 or bonus depreciation impact before year-end. Your CPA tells you what it saved you in April — long after you could have planned around it.

03
No read on overhead or per-provider numbers.

You don't know your true overhead percentage, what each associate actually produces against their comp, or whether the hygiene department pays for itself. So you can't tell which lever to pull.

04
A bookkeeper, a CPA, and nobody who knows dental.

Your bookkeeper codes transactions. Your CPA files the return. Neither one has read a dental P&L before, so neither flags the things a dentist would want flagged. You become the integration layer — which makes you the bottleneck.

What's included

One firm. One recurring investment. The finance team your practice never had.

No surprise invoices. No handoffs between your bookkeeper, CPA, and CFO. The services below are available through our packages. Your agreed scope depends on the size and complexity of your practice.

a
Dental-specific bookkeeping & reconciliation

A chart of accounts built for dentistry — production, collections, adjustments, write-offs, lab and supply costs broken out. Bank, credit card, and merchant reconciliation. Books closed by the 15th of the following month.

b
Practice tax return + state filings

Form 1120-S, 1065, or 1120 for your PC or PLLC, plus multi-state filings if you operate across lines. Filed by your team, not handed off.

c
Dentist's personal return (Form 1040)

Coordinated with the practice return so K-1 income, owner comp, and personal strategy all line up. No more two firms doing the math twice.

d
Equipment & tax planning (year-round)

Section 179 and bonus depreciation modeled before you sign for the chair, the scanner, or the build-out. Plus entity election timing, owner comp, and retirement plan strategy through the year, not just at filing.

e
Quarterly tax projections

Real projections so you write the right estimated tax checks. No April surprises, no overpaying just to feel safe.

f
Practice KPI & overhead dashboard

Overhead percentage, collections ratio, production per provider, hygiene profitability — the numbers dentists benchmark against, tracked every month so you know which lever to pull.

g
Owner advisory & strategy sessions

A quarterly conversation about what the numbers are telling you. Fee schedules, payer mix, associate comp, hiring, and whether it's time for that second chair or second location. We translate.

h
Fractional CFO for acquisitions & growth

Add-on CFO support for a practice acquisition, a startup build-out, an associate buy-in, or a second location. You get a CFO for the big moves, without paying for one between them.

Investment

Clear, predictable investments. Scaled to your practice, to the support you need.

Your tier depends on collections, number of locations, and how many providers and entities you run. We publish our starting investments so the discovery call is about fit, about the support you need.

The investment examples below are typical. Your actual scope is set after your discovery call and any cleanup we need to do up front.

One-time
Foundation Fee

A dental chart of accounts, location and entity setup, system connections, and onboarding. The one-time Foundation Fee is 2 to 4 times your recurring service fee, depending on complexity and setup requirements. Your recurring service fee is billed every four weeks. Prior period catchup and cleanup are scoped and quoted separately.

2 to 4× recurring service fee

Prior period catchup and cleanup

Prior-period catchup brings missing months or years of bookkeeping up to date. Cleanup corrects and reconciles records that have already been entered. Both are scoped separately from the Foundation Fee, with a custom investment based on how far back the work goes, transaction volume, and the condition of your records. We confirm the scope and investment in your proposal.

All recurring investments are billed every four weeks (13 cycles per year). Ongoing service is month-to-month, with no annual commitment. Your final investment is set after your discovery call and books review.

Our guarantee

On-time numbers. On-time filings. Or we eat the difference.

Your books closed by the 15th every month, every month. Tax filings on time, every time. If we miss the 15th, your next billing cycle is free. If we cause an IRS or state late-filing penalty, we cover the penalty and credit you a cycle.

Right fit, wrong fit

We turn down practices we can't serve well. Here's the filter.

Saying yes to the wrong client hurts both of us. Read this before you book a call.

✓ You're a fit if

Most of these describe your practice:

  • An established practice doing $500K or more in collections. Real production, real overhead, real tax bills.
  • You're behind on books or don't trust the numbers you have, and you want that fixed.
  • You have associates, multiple locations, or entities (or you're heading that way).
  • You're buying equipment, acquiring a practice, or building out and want the tax impact modeled first.
  • You want one firm handling books, tax, and advisory — not three vendors you have to manage.
  • You want a team that reads a production report, not one learning what a hygiene department is.
  • You want to know your numbers, not be told "your accountant has it covered."
× We're not the right firm if

Any of these apply:

  • You're a brand-new startup under $500K. Use a part-time bookkeeper for now. We'd love you back once you're producing.
  • You're a non-dental small business. See our Small Business page.
  • You're an individual without an active practice. See our Tax Advisory page.
  • You want to keep your existing CPA and bookkeeper and just add advisory. We sell the bundle, not the layer.
  • You're shopping for the cheapest bookkeeping. We're premium-positioned for a reason.
  • You want quarterly check-ins only, with no monthly close. Our model is monthly by design.
  • You want someone to sign returns without doing the work. We won't.
How it works

From first conversation to dependable monthly reporting.

We agree on the scope, required documents, and onboarding timeline before work begins.

01
Discovery call

15 minutes. We learn your practice, your current setup, and what's not working. We scope your cleanup work and quote a fixed recurring investment. No pressure to decide on the call.

02
Books and tax assessment

You give us read access to QuickBooks or Xero, a production report from Dentrix, Open Dental, or Eaglesoft, and your last two years of returns. We review the books, flag what needs cleanup, and send a proposal with your investment and timeline.

03
Foundation setup & onboarding

A dental chart of accounts, location and entity setup, and onboarding. Prior period catchup and cleanup are scoped separately. You stay chairside; we do the work.

04
First monthly close

By the 15th of the following month: full close, dentist-ready financials, your overhead and per-provider KPIs, and a quarterly tax projection if it's a projection month. From there, it's a rhythm.

Ready when you are
